1.1 In this policy, “we”, “us”, “our” refer to Master Locksmiths Association and “you” and “your” refer to natural personas that uses our website to send an enquiry.
1.2 We are committed to protect the private data we receive and store from you and respect your rights under the General Data Protection Regulation.
1.3 This policy applies when we receive your data, and we are acting as “data controller” and when we process it, and we are acting as “data processor”.

The data is received from you, as an individual that has made contact through our website locksmiths.co.uk
The data received from you can be phone number, name or e-mail address.
Once the enquiry is received by us, your details will be used to contact you in order to respond to the original enquiry.
We will not share your details with any other party.
Once we have responded to your enquiry, unless we have received your consent to send you more information about our training, we will not contact you any further. If consent is given, your details will be retained until the consent is withdrawn.
MLA protects the computers on which the data is received by password, that is periodically changed (every 3 months). The computers are kept on a secure site which is protected by alarm and anti-theft system.

2.1 We only collect the data from the individual themselves or from the company that an individual works for, before joining and during your membership.
3.1 private data collected can details such as: name, address, phone, fax, email, exam dates, membership dates, training records, inspections or insurance.
3.2 In order to vet our members (company or personal), we ask individuals to provide a criminal record check; we do understand this type of data is part of sensitive private data category, therefore we do take special measures to protect your details. The DBS checks can be accessed and read only by the members of staff that have got the clearance to do so (managing director and membership administrator) and they are destroy after the check.
4.1 In this section we explain how we use your personal data.
4.2 Your data will be use as correspondence data (the MLA may contact you by e-mailing or calling to give you updates on your membership). The legal basis of processing the correspondence data is the performance of a contract between you and us, at your request, to enter into such a contract.
data will be used as transaction data and it may be used for financial records such as VAT invoices and it will be kept for 6 years. The legal basis of this processing are the “legal obligations” to which the Master Locksmiths Association is subject to.
Note: For affiliate and company members, the MLA only uses the public details of the company for invoices, not the details of a natural person.
4.3 The details of the approved companies will be made public on our website and become public details. The legal basis of this processing is the legitimate interest of our approved company members to be promoted by us on our website or handbook. Also, we process these details for the performance of a contract between you and us, at your request, to enter into such a contract.
Note: In most of the cases the details of the approved companies, represent details of businesses, not individuals, and they are already published on the company’s website.
4.5 Membership related documents such as inspections forms, certificates, application forms, member’s benefit etc are membership data and they are being processed under the legal basis of the performance of a contract between you and us, at your request to enter into such a contract.
5.1 We share the details of our approved companies with the affiliate members, the legal basis of this process is the legitimate interest of our members to receive special offers from the suppliers. You have the right to restrict or stop this processing.
5.2 We do not share the details of the personal/affiliate members with any other party.
5.1 This section explains how we store your private data and for how long.
5.2 Your private documents are printed and secured in our filing cabinets, that are locked, and they can only be accessed by our members of staff. The cabinets are placed in the Master Locksmiths Association building that is secured by high level security and a monitored alarm system. Your private data will be kept during your membership and 5 years after the membership has been ceased.
The legal basis of storing your details for 5 years after the membership has been ceased is our legitimate interest to keep a record of our members and for the performance of a contract, at your request to enter into such a contract.
5.3 Your private documents will be stored electronically on our servers that are based in the UK. Our computers are protected by password and anti-virus program, and they can only be accessed by our staff members. We store the details of our members, in an electronic format, during the membership and 5 years the membership has been ceased, as it is our legitimate interest to keep a record of our members. Once the membership has been ceased, the details will never be used in a process, they will only be stored by us.
5.6 Your public data will be disclosed to the public and it will be stored on our website.
5.7 We do not store the copies of criminal record checks or of the IDs.
6.1 This section explains how we delete/destroy your data once is no longer needed. For more details about the length of time we store your data please see Section 5.
6.2 Once your private data is no longer relevant/needed we will permanently delete the electronic files.
6.3 Once your private data is no longer relevant/needed we will hire a secure document shredding company, that complies to the GDPR, to destroy the documents.
7.1 We have standard procedures to protect your details against data breaches such as passwords for electronic files, that are periodically changed (every 3 moths), alarms and secure filing cabinets for physical documents. For more details on how we securely store your documents please see section 5.
7.2 We back-up your data by creating an electronic copy of each document that is securely stored on our server based in the UK, that is protected by password and anti-virus program.
7.3 We understand the legal requirement to report a data breach to ICO (Information Commissioner’s Office) in maximum 72h hours from the event. We also commit to inform every person that has been affected by the data breach.
10.1 We may collect UTM parameters (such as utm_source, utm_medium, utm_campaign) when you visit our website or interact with our membership enquiries and contact forms. These parameters help us understand the effectiveness of our marketing efforts and improve our services.
